POSITION OVERVIEW

The Sales Assistant supports the Sales team by handling administrative tasks, coordinating customer requests, managing sales documentation, tracking orders and deliveries, maintaining accurate customer records, and coordinating with internal departments. This role ensures smooth sales operations, timely communication with clients, customer service and effective support for business growth.

KEY RESPONSIBILITIES

  1. Documentation & Contract Management
  • Act as the focal point for receiving, drafting, verifying, tracking, and processing contracts, product technical documents, correspondence, goods status updates, and customer complaints.
  • Provide, track, and update documents, certificates, and samples sent to customers.
  • Prepare quotations, contracts, sales reports, and other sales-related documents.
  1. Sales Data & Order Tracking
  • Accurately update sales information, and departmental data.
  • Receive, confirm, and track purchase orders (PO) and delivery schedules daily.
  • Monitor order status and proactively communicate updates to customers and the Sales team.
  • Coordinate with internal teams to resolve customer issues in a timely manner.
  • Update on monthly customer forecasts and contracts/agreements in ERP and reporting templates.
  1. Customer Records Management
  • Organize and store customer-related information, including contracts, appendices, technical documents, request forms, product information, and other relevant materials.
  1. Administrative & Support Activities
  • Consolidate monthly team expenses (travel, sample delivery, other costs) and prepare payment requests.
  • Prepare sample for customers/supplier, follow sample tracking
  • Purchase market samples and prepare sensory evaluation samples.
  • Coordinate travel arrangements, meeting schedules, and event logistics for team
  • Support sales events, exhibitions, and company/partner activities.
  • Perform other administrative tasks as assigned.

QUALIFICATIONS & SKILLS

Education

  • Bachelor’s degree, preferably in Food Technology, Chemistry, Bach Khoa University is preferred.
  • Fresh graduates are welcome to apply.
  • Good command of English, both written and spoken.
